guideOS is a business operations platform built for professional fishing guides. We are incorporated and operated in the United States. When this policy says "guideOS," "we," "us," or "our," it means the company operating guideos.io.

What we collect

We collect information you provide directly, information generated as you use the platform, and limited technical data.

• Account information: your name, email address, phone number, business name, and payment details when you subscribe.
• Business data: trip types, pricing, schedule, boat information, and policies you configure in guideOS.
• Client data: names, contact details, trip history, and notes you enter about your clients.
• Booking data: reservations, payments, waivers, and communications associated with your trips.
• Usage data: how you interact with the platform, including which screens you use, when you log in, and actions you take.
• Device and log data: IP address, browser type, operating system, and error logs used for security and debugging.

How we use your information

We do not use your data or your clients' data for advertising. We do not build or sell audience profiles. We do not train AI models on your client information or trip data without your explicit consent.

• To operate the platform and deliver the features you've subscribed to.
• To process payments and send billing communications.
• To send AutoPilot messages on your behalf, including deposit reminders, waiver requests, and weather advisories.
• To improve the product through aggregated, anonymized usage analysis.
• To respond to support requests and communicate about your account.
• To comply with legal obligations.

Your client data

Client records you create in guideOS belong to you. We process that data only to operate the platform on your behalf. You can export your full client list at any time from the Clients screen. If you cancel your account, we will provide a data export window of 30 days before deletion.

Data sharing

We share data only in the following limited circumstances:

We do not sell personal data. We do not share client lists with marketplaces or third-party advertisers.

• Service providers: companies that help us operate guideOS, including payment processing, email delivery, cloud hosting, and weather/tide data providers. These providers are contractually restricted from using your data for any purpose other than providing their service to us.
• Legal requirements: when required by law, court order, or to protect the safety of users or the public.
• Business transfers: if guideOS is acquired or merges with another company, data may transfer as part of that transaction. We will notify you before your data becomes subject to a different privacy policy.

Data retention

We retain your account data for as long as your account is active. If you cancel, we retain data for 30 days to allow export, then delete it. Anonymized, aggregated usage data may be retained indefinitely. Certain financial records may be retained longer as required by law.

Security

guideOS uses industry-standard security practices: HTTPS for all data in transit, encryption at rest, access controls limiting which team members can access production data, and regular security reviews. Your rights

You may request access to, correction of, or deletion of your personal data at any time. To make a request, email [email protected]. We will respond within 30 days. If you are located in a jurisdiction with specific data protection rights, such as California or the EU, additional rights may apply.

guideOS uses essential cookies to keep you logged in and maintain your session. We do not use tracking cookies, advertising cookies, or third-party analytics cookies that send data off-platform.

Children

guideOS is a professional business tool not intended for use by anyone under 18. We do not knowingly collect data from minors.

Changes to this policy

We may update this policy as the product evolves. When we make material changes, we will notify you by email and display a notice in the app at least 14 days before changes take effect. Continued use after that date constitutes acceptance.
